The Challenge

French Bakery Dubai required an automated delivery acknowledgement system integrated with WhatsApp and a web-based administration portal. Manual confirmations caused payment delays, disputes, and lack of real-time visibility into delivery and invoice status. The finance department needed structured tracking from invoice generation to customer acknowledgement.

The Solution

FIA was implemented as a WhatsApp-based intelligent delivery acknowledgement system integrated with a web-based Admin application. It manages the complete lifecycle from invoice import to delivery proof and customer confirmation, ensuring automated reminders, secure acknowledgements, and improved payment collection efficiency.

System Capabilities

WhatsApp Bot & Delivery Flow

Delivery executives upload delivery and invoice photos via WhatsApp. Customers respond with Accept or Reject and attach signed acknowledgement or photo evidence. Automatic reminders are triggered for pending acknowledgements.

Admin Dashboard, Reports & Invoice Management

Web dashboard provides summaries (Daily/Weekly/Monthly/Yearly), trend charts for invoices and acknowledgements, reports by group, customer and ageing, pending deliveries tracking, rejected deliveries, bulk invoice upload, search, filter, and export to Excel/PDF.

System Requirements & Future Scope

Role-based access (Admin, Finance, Delivery Manager), supports 25,000+ invoices per month, 24/7 WhatsApp availability, real-time status updates, ERP integration (CSV/API), WhatsApp notifications, optional email/SMS alerts. Future enhancements include customer order collection, credit note/replacement requests, and product feedback collection.
